By accessing or using the clinic-admin portal ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service.
These Terms constitute a legally binding agreement between you (the "User" or "Subscriber") and Digital Treasure Pty Ltd ("we", "us", or "our"), the operator of clinic-admin, based in Queensland, Australia.
By setting up an account or continuing to use the Service after any changes to these Terms, you confirm your acceptance of the current Terms.
clinic-admin is a cloud-based clinic operations management platform designed for Australian medical and allied health practices. The Service includes tools for staff compliance tracking, fridge and temperature logging, incident reporting, meeting minutes, policy management, and other operational functions.
We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.
To use the Service, you must register an account using a valid email address and a setup code issued by clinic-admin. You are responsible for:
Each setup code activates a single clinic instance. You must not share setup codes with other organisations or use a single account for multiple unrelated clinics without authorisation from clinic-admin.
You must provide accurate information during registration and keep your account details up to date.
The Service is provided on a subscription basis at A$49 per clinic per month. The first 30 days of your subscription are provided free of charge. No credit card is required during this trial period. After the 30-day trial, continued use of the Service requires a paid subscription.
Billing is processed securely through Stripe. By subscribing, you authorise Digital Treasure Pty Ltd (trading as clinic-admin) to charge your nominated payment method on a recurring monthly basis.
You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:
Breach of this section may result in immediate suspension or termination of your account without refund.
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
You retain ownership of all data you enter into the Service ("Your Data"). By using the Service, you grant clinic-admin a limited licence to store, process, and display Your Data solely for the purpose of providing the Service to you.
We do not sell Your Data to third parties. Your Data is stored securely using Google Firebase infrastructure. See our Privacy Policy for full details.
You are responsible for ensuring that staff data entered into the Service is handled in accordance with the Privacy Act 1988 (Cth) and applicable Queensland privacy obligations.
The Service, including its design, code, content, and features, is owned by Digital Treasure Pty Ltd and protected by Australian and international intellectual property laws.
We grant you a limited, non-exclusive, non-transferable licence to use the Service for your internal clinic operations during the period your subscription is active.
You may not copy, reproduce, distribute, or create derivative works from any part of the Service without our prior written consent.
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied.
We do not warrant that the Service will be uninterrupted, error-free, or completely secure. You are responsible for maintaining appropriate backups of critical operational data using the export function provided.
To the maximum extent permitted by Australian law, Digital Treasure Pty Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service.
Our total liability to you for any claim arising from your use of the Service shall not exceed the total subscription fees paid by you in the three (3) months preceding the claim.
Nothing in these Terms limits or excludes any rights you may have under the Australian Consumer Law that cannot be excluded by contract.
You may cancel your subscription at any time through the Settings page or by emailing us. Cancellation takes effect at the end of the current billing period.
We may suspend or terminate your account immediately if:
Upon termination, your access to the Service ceases. Data retention following termination is outlined in Section 4.
We may update these Terms from time to time. We will notify you of material changes by email or via a notice within the portal at least 14 days before the changes take effect.
Your continued use of the Service after the effective date of any changes constitutes acceptance of the updated Terms.

These Terms are governed by the laws of Queensland, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Queensland.
