Tracking casual staff hours

Log hours daily by QR, total them each fortnight, and check them against Xero Me — about five minutes to set up.

The idea: staff tap a QR by the entrance to check in and out, so clinic-admin keeps an independent record of the hours actually worked. Each payday you total each person’s hours and compare them to the timesheet they submit in Xero Me. No app to install, no special hardware — just their phones.
Step 1

Turn on check-in

In clinic-admin, go to Settings › Staff Check-In / Check-Out and tick Enable staff check-in. It saves straight away. Everything below is switched on and off from here.

Step 2

Print and place the QR

In the same panel, click Print check-in QR. Print it on plain A4 and stick it at head height by the staff entrance — laminating helps. It is the same QR for arriving and for leaving.

Step 3

Staff check in and out

Each staff member points their phone camera at the QR, logs in once, and taps Check in when they arrive. On the way out they scan again and tap Check out. One tap each.

Every shift is timestamped with its duration on the Staff Attendance page, and staff cannot change a past entry — it is a read-only record.

Step 4 · optional

Flag off-site check-ins

Want to catch a check-in made away from the clinic — say, from home before a shift? Set the clinic’s location:

After that, a check-in made further than the allowed distance away — or with phone location switched off — is tagged off-site in the log. It flags, it never blocks a check-in.

This step is optional. Check-in and hours tracking work perfectly without it — it is just an extra for clinics that want to spot remote check-ins. It needs your phone’s location turned on, which is why it is best set from a phone at the clinic.
Step 5

Total the hours each fortnight

Go to Staff Attendance. Set the From and To dates to your pay fortnight (or tap Last 14 days), then tick Total hours per staff.

You will see each person’s total logged hours — in hours-and-minutes and as a decimal like 62.25 — with their shift count. A shift someone forgot to check out of is flagged, so you can close it first for an accurate total.

Step 6

Check against Xero Me and export

Read each person’s total down the column, next to the fortnightly timesheet they submit in Xero Me. If a number does not match, you have caught it.

Click Summary CSV to download the totals as a spreadsheet to keep or import into Xero.

clinic-admin does not pull the Xero Me timesheet in automatically — that is payroll data Xero keeps on a separate connection — so it is a side-by-side check. That is the point: clinic-admin gives you an independent record of hours actually worked to measure the timesheet against.
Good to know

What it is — and isn’t

This is a presence and hours record, not a payroll system. It totals the hours worked so you can cross-check a timesheet — it does not calculate award rates, penalties or pay. Use it alongside Xero, not instead of it.
